2. What data we collect

When you use the contact or intake form, we collect the information you choose to send: name, company, email address, phone number, project context, business problem, user impact, constraints, existing context, decision owner and optional notes or links.

We may also receive basic technical information needed to operate the website and protect the form from misuse, such as server logs, IP address, browser information and request timestamps.

3. Why we use the data

We use submitted data to understand your request, assess whether CAERUS can help, reply to you, prepare a first conversation and protect the quality and security of the intake process.

If a commercial relationship starts, we may also use relevant contact and project data to manage the engagement, communicate with you and meet accounting or legal obligations.

4. Legal basis

For intake and contact requests, processing is normally necessary to take steps before entering into a contract or to respond to a business inquiry. We may also rely on legitimate interest to qualify requests, protect scope, maintain business records and secure the website.

Where we must keep records for tax, accounting or legal reasons, processing is based on legal obligation.

5. Who receives the data

Submitted intake information is reviewed only by authorized CAERUS reviewers. We use trusted service providers to operate the website and email flow, including hosting, email delivery and mailbox services.

We do not sell personal data. We do not use intake data for automated decision-making that produces legal or similarly significant effects.

6. How long we keep data

Intake requests that do not become active work are usually kept for up to 24 months, unless a longer period is needed for security, dispute handling or legal reasons. If a request becomes a project, relevant records may be kept for the duration of the engagement and for the period required by business, tax or legal obligations.

7. International transfers

Some providers may process data outside Romania or the European Economic Area. When this happens, we expect appropriate safeguards to be used, such as EU Standard Contractual Clauses or equivalent legal mechanisms.

8. Your rights

Depending on the situation, you may have the right to access your data, ask for correction, deletion or restriction, object to processing, request portability and lodge a complaint with the Romanian data protection authority.
